Neurotec (“we,” “us,” or “our”) provides an AI-assisted study workspace. This Privacy Policy explains how we collect, use, disclose, and otherwise process information when you use our websites, apps, and related services (collectively, the “Services”).

By using the Services, you acknowledge this Policy. If you do not agree, please do not use Neurotec. Our Terms and Conditions apply alongside this Policy.

2. Who is responsible?

The data controller (or equivalent responsible party) for personal data processed through Neurotec is identified on our Contact page together with the legal entity name and address applicable to your deployment.

3. Information we collect

We may collect:

• Account data: name, email, password hash, and preferences you provide when you register.
• Study and chat content: text, files, or prompts you enter into chats or uploads to generate summaries, questions, or other study outputs.
• Usage and technical data: device type, browser, approximate region, pages viewed, feature usage, timestamps, and similar diagnostics from hosting and analytics tools where enabled.
• Support communications: messages you send us via email or contact forms.

4. How we use information

We use information to:

• Provide, maintain, secure, and improve the Services;
• Process your requests and display AI-generated outputs;
• Authenticate users, detect abuse, and enforce our Terms;
• Communicate about updates, support, or (with consent) marketing;
• Comply with law and respond to lawful requests.

5. AI processing and OpenAI

Neurotec is built around AI-assisted study features. To generate responses, your prompts, inputs, and related conversation text are processed together with model-generated response text returned to you.

We work in cooperation with OpenAI, LLC and/or its affiliates (“OpenAI”) as a key infrastructure provider. User prompts and the content of AI-generated responses may be transmitted to and processed on OpenAI’s systems in order to provide the Services. OpenAI’s handling of data is also governed by OpenAI’s applicable terms, policies, retention practices, and security measures, which may change from time to time.

Whether content may be used to improve or train models, how long it is retained, and where it is processed depend on our agreements with OpenAI and OpenAI’s published documentation. Do not submit categories of data you are not comfortable sharing with Neurotec and its AI subprocessors (including OpenAI).

6. Personal details in what you type; limits of protection

We strive to design the Services so that users are encouraged to focus on study-related content and to avoid sharing unnecessary personal data. We may apply technical or policy measures intended to limit exposure of certain sensitive categories of information.

However, because Neurotec is an AI-centric platform that processes natural language you freely enter, we do not warrant, represent, or guarantee that all personal, sensitive, confidential, or identifiable information will be detected, filtered, redacted, or excluded from transmission to subprocessors (including OpenAI), from model outputs, or from logs and diagnostic systems. Automated systems and human review (where used) may not catch every instance. Model behavior may be imperfect or unpredictable.

You acknowledge that absolute, error-free protection of every piece of personal information you might include in a prompt cannot be assured. Your use of the Services is at your discretion and risk regarding what you choose to submit. See also the Terms and Conditions for related limitations of liability where permitted by law.

7. Sharing and subprocessors

We may share information with service providers who help us host, operate, bill, analyze, or secure the Services (including hosting, email, payments, analytics, and AI inference providers such as OpenAI). They are permitted to use data only as needed to perform services for us, subject to contract and applicable law.

We may disclose information if required by law, to protect rights and safety, or in connection with a merger, acquisition, or asset sale, subject to applicable law.

8. Retention

We retain information for as long as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. Chat and study content may be retained for different periods depending on your plan, product settings, and (for enterprise customers) your written agreement with us.

9. Your rights

Depending on where you live, you may have rights to access, correct, delete, or export personal data, or to object to or restrict certain processing. Contact us to exercise these rights. We may verify your identity before responding.

10. Cookies and similar technologies

We may use cookies or local storage for session management, preferences, and (if enabled) analytics. You can control cookies through your browser settings.

11. Children

The Services are not directed at children under 13 (or the minimum age in your jurisdiction). If you believe we have collected data from a child, contact us and we will take appropriate steps.

12. International transfers

If you access the Services from outside the country where we operate, your data may be processed in other countries. Where required, we use appropriate safeguards (such as standard contractual clauses) as determined with qualified counsel.
